We do not intentionally collect Discord account passwords, ordinary users' Discord authentication tokens, payment card details or private credentials.

3. Message Content

Lama Bot does not intentionally store or analyze all message content without a functional reason.

Certain enabled features may require message content to be processed, including:

• Anti-Link
• Leveling or activity features
• Ticket transcripts
• AI commands
• Message-based security and moderation features

Lama Bot aims to process only the information reasonably necessary for the requested or configured functionality.

Processing message content does not necessarily mean that the content is permanently stored.

4. Artificial Intelligence Features

Lama Bot provides optional AI-powered functionality using OpenAI.

AI functionality may include commands such as:

• /ask
• /chat
• /summarize

When users interact with these features, information submitted to the AI feature may be transmitted to OpenAI for processing.

This may include:

• Prompts
• Questions
• Text submitted for summarization
• Relevant conversation context
• Other content intentionally submitted to an AI feature

OpenAI independently processes information according to its applicable terms, privacy policies and data-processing practices.

5. Purposes of Processing

Information may be processed to:

• Operate Economy and Leveling systems
• Operate Tickets
• Provide AI functionality

Lama Bot does not sell personal data.

Where the European Union General Data Protection Regulation (GDPR) applies, processing may be based on one or more applicable legal bases.

Processing may be necessary to provide functionality requested by a user or server administrator.

7. Data Storage

Lama Bot primarily stores persistent application data on infrastructure operated or controlled by the Lama Bot Project.

The Lama Bot database is hosted on our own server infrastructure.

Reasonable technical and organizational measures are used to protect stored information against unauthorized access, loss, misuse or alteration.

However, no online service or storage system can guarantee absolute security.

8. Data Retention

Lama Bot aims to retain information only for as long as reasonably necessary for its intended purpose.

Server Configuration

Stored while required to provide Lama Bot functionality, until configuration is reset, associated data is deleted, or a valid deletion request is fulfilled.

Economy & Leveling

Stored until reset, deleted, no longer required, or a valid deletion request is fulfilled.

Moderation Records

Stored until removed by authorized server staff, deleted as part of server data removal, or otherwise no longer required.

Tickets & Transcripts

Stored according to the ticket functionality and server configuration until deleted or no longer required.

Technical Logs

Technical logs are normally retained for no longer than 30 days.

Logs may be retained longer where reasonably necessary to investigate abuse, security incidents or technical problems, or where required by law.

AI Content

Lama Bot aims not to retain AI request content longer than necessary to provide the relevant feature, except where conversation history or another explicitly enabled feature requires storage.

Backups may temporarily contain previously deleted information until the applicable backup is rotated or deleted.

9. Data Sharing

We do not sell personal data.

Information may be disclosed where reasonably necessary to:

Discord

Lama Bot operates through Discord and relies on Discord's platform, infrastructure and APIs.

OpenAI

Content submitted through AI functionality may be transmitted to OpenAI for processing.

Infrastructure Providers

Where external infrastructure providers are used, limited information may be processed where necessary to operate Lama Bot.

Legal Requirements

Information may be disclosed where reasonably necessary to:

• Comply with applicable law
• Respond to valid legal requests
• Protect users or the public
• Investigate fraud, abuse or security incidents
• Protect the integrity of Lama Bot
• Establish, exercise or defend legal claims

10. International Data Transfers

Discord and OpenAI operate internationally.

Information processed through these services may therefore be transferred to or processed in countries outside the user's country of residence, including outside the European Economic Area.

Such processing is subject to the respective provider's applicable privacy practices and data-protection mechanisms.

Depending on applicable data-protection law, including the GDPR where applicable, users may have rights including:

12. Access & Deletion Requests

Users may request access, correction or deletion of information associated with Lama Bot.

We may request your Discord User ID and/or Discord Server ID to locate relevant records.

Reasonable verification may be required to prevent unauthorized users from requesting another person's or server's information.

13. Server Administrator Responsibilities

Discord server owners and administrators decide whether to add Lama Bot and which optional modules to enable.

Administrators are responsible for configuring and using Lama Bot in accordance with applicable law and Discord's rules.

This is particularly relevant for features involving:

• Message moderation
• Logging
• Ticket transcripts
• AI processing
• User activity
• Moderation records

14. Children & Minors

Lama Bot is designed for use through Discord and is subject to Discord's applicable age requirements.

We do not intentionally design Lama Bot to collect personal information from individuals who are not legally permitted to use Discord.

Reasonable measures are used to protect Lama Bot and information processed through the Service.
